Workspaces
Workspaces organise reports, semantic models and other content for a team. Assign roles according to what each person needs to do. Keep development and production content separate when your release process requires it.
Apps
A Power BI app packages workspace content for its audience. Choose the reports to include and configure audience access before publishing. Update the app when you want consumers to receive changes from the workspace.
Sharing
Sharing gives other people access to a report or app. Check permissions and licensing requirements before distributing content. Access to a report does not mean that everyone should see every row of its data.
Gateway
An on-premises data gateway connects cloud services to supported data sources that are not directly accessible from the cloud. Configure the gateway connection, credentials and access permissions, then map the semantic model to it.
Scheduled Refresh
Scheduled refresh updates imported data. Configure source credentials, gateway connections where needed and a refresh schedule suited to your data. Review refresh history to investigate failures and confirm that new source data has arrived.
Row-Level Security
Row-level security uses role filters to restrict the rows a viewer can see. Define and test roles in the model, then assign users or groups in the Service. Workspace permissions matter: RLS applies to viewers, not workspace administrators, members or contributors.
